Before you start
You need:
- an e-conomic account you can log in to and approve apps for
- your settings filled in, including your country and cutoff date
- your BrickLink or Brick Owl store connected
- the products you want to use on your invoices created in e-conomic (for example one for products, one for shipping and one for handling fees, per region)
BrickInvoice creates e-conomic invoices in Danish kroner (DKK).
Connecting e-conomic
e-conomic gives you an Agreement Grant Token when you approve BrickInvoice. You paste that token into BrickInvoice.
- Go to Accounting → Connect.
- Choose e-conomic under Select Accounting Package and click Next.
- Under Step 1: Get Authorization, click Open e-conomic Authorization Page. e-conomic opens in a new tab.
- Log in to e-conomic and approve access for BrickInvoice. e-conomic then shows your Agreement Grant Token.
- Copy the token, go back to BrickInvoice and paste it into Agreement Grant Token under Step 2: Enter Agreement Grant Token.
- Click Connect to e-conomic.
BrickInvoice checks the token and reads the VAT zones of your e-conomic agreement. When that works, you see Successfully connected to e-conomic!. BrickInvoice stores the token encrypted. It never stores your e-conomic login details.
Configuring e-conomic
Go to Accounting → Configuration. The lists of customer groups, payment terms, layouts and products are loaded from your e-conomic agreement.
General settings
- Customer Group: the customer group for customers BrickInvoice creates.
- Payment Terms: the payment terms for new customers and for invoices.
- Invoice Layout: the layout e-conomic uses for the invoices.
- Invoice Type: Draft creates the invoice as a draft you can still edit in e-conomic. Final books the invoice straight away. Draft is the default.
- Differentiate BrickLink / Brick Owl: tick this to choose separate products for BrickLink and Brick Owl orders. See Platform differentiation.
Customer Group, Payment Terms and Invoice Layout are required.
Contact sync options
- Sync Email Addresses: adds the buyer's email address to the customer in e-conomic. Off by default.
- Update Existing Contacts: when on (the default), an existing customer is updated with the data from the new order. When off, existing customers are never changed.
Line items
Each card has a Description field and one or more product fields. The description is the text on the invoice line. You can use {order_number}, {source} and {payment_method} in it.
Product Line Items (products with VAT):
- Domestic Product: sales within your country
- EU Product: sales to other EU countries (only shown if your business is in the EU)
- Export Product: sales outside the EU
Margin Scheme Line Items (products under the margin scheme) has the same three fields: Domestic Margin Product, EU Margin Product and Export Margin Product.
Which of these two cards you see depends on your margin scheme usage under Settings → Margin Scheme. If all your goods fall under the margin scheme, you only see the margin card. If none do, you only see the product card.
Shipping Line Items:
- Shipping Product (with VAT): shipping to customers in your country and the EU
- Shipping Product (no VAT): shipping to customers outside the EU
Handling Fees:
- Handling Fees (with VAT): customers in your country and the EU
- Handling Fees (no VAT): customers outside the EU
If you turned on B2B VAT exempt in your settings, each card also has a B2B field, such as Product (B2B). That product is used for B2B orders where the VAT is reversed.
Click Save Configuration when you are done. The page then shows Configuration Saved, with an Edit button to change your settings later.
How orders end up in e-conomic
Customers
BrickInvoice looks for an existing e-conomic customer with exactly the same name as the buyer. Two different buyers with the same name therefore end up on the same customer. If it finds one, it uses that customer (and updates it if Update Existing Contacts is on). If not, it creates a new customer in the customer group you chose.
Customers in your own country and in other EU countries get your domestic VAT zone. Customers outside the EU get the abroad VAT zone.
Invoices
The invoice gets the order date, your payment terms and layout, and the order number as reference: BL_ followed by the order number for BrickLink orders, BO_ for Brick Owl orders.
With Invoice Type set to Final, BrickInvoice books the invoice right after it creates the draft. If e-conomic refuses to book it, the invoice stays a draft and you can book it in e-conomic yourself.
When you leave invoices as drafts and book them in e-conomic later, BrickInvoice picks up the booked invoice number on its invoice number sync, which it sets up when you connect.
e-conomic does not register payments or book PayPal or Stripe fees through BrickInvoice. See the Feature Comparison.
Disconnecting e-conomic
- Go to Accounting → Connect.
- Click Disconnect e-conomic.
- Click Yes, Disconnect in the dialog.
BrickInvoice removes the connection and your stored token, and clears your accounting configuration, so after reconnecting you set it up again. Invoices and customers already in e-conomic stay where they are. See Changing or disconnecting your package.
Troubleshooting
Invalid Agreement Grant Token
The message Invalid Agreement Grant Token. Please check your token and try again. means e-conomic did not accept the token. Copy it again from e-conomic, without spaces before or after it, or start again with Open e-conomic Authorization Page to get a new one.
Could not auto-discover VAT zones
BrickInvoice needs three VAT zones in your e-conomic agreement: one for domestic, one for EU and one for abroad. The message Could not auto-discover VAT zones. Your e-conomic account may not be properly configured. means one of them could not be found. Check the VAT zones in e-conomic and connect again.
Lists stay empty in the configuration
If no customer groups, payment terms, layouts or products appear, check that e-conomic is still connected under Accounting → Connect and that the items exist in your e-conomic agreement. Then reload the configuration page.
A B2B order does not sync
A B2B order where the VAT is reversed needs the B2B products. If one is missing, the sync stops with an error that names the missing product, for example Product (B2B). Choose the product in the configuration and sync the order again.
