Before you start

You need:

  • a Lundify account
  • your Lundify User-Key
  • your settings filled in, including your country and cutoff date
  • your BrickLink or Brick Owl store connected
  • the articles you want to use on your invoices created in Lundify (for example one for products, one for shipping and one for handling fees, per region)

You find the User-Key in Lundify: open Integrations in the menu, then click the gear icon (⚙️) in the top right corner.

Connecting Lundify

  1. Go to Accounting → Connect.
  2. Choose Lundify under Select Accounting Package and click Next.
  3. Paste your key into User-Key.
  4. Click Test Connection. BrickInvoice shows whether the test succeeded.
  5. Click Save Connection. This button only becomes active after a successful test.

Configuring Lundify

Go to Accounting → Configuration. The article lists are loaded from your Lundify account.

General settings

Differentiate BrickLink and Brick Owl: tick this to choose separate articles for BrickLink and Brick Owl orders. See Platform differentiation.

Contact sync options

  • Sync Email Addresses: adds the buyer's email address to the customer in Lundify.
  • Update Existing Contacts: when on (the default), an existing customer is updated with the data from the new order. When off, existing customers are never changed.

Line items

Each card has a Description field, which is the text on the invoice line, and one or more article fields. The description is required.

Product Line Items (products with VAT):

  • Domestic Product Article: sales within your country
  • EU Product Article: sales to other EU countries (only shown if your business is in the EU)
  • Export Product Article: sales outside the EU

Margin Scheme Line Items (products under the margin scheme) has the same three fields: Domestic Margin Article, EU Margin Article and Export Margin Article.

Which of these two cards you see depends on your margin scheme usage under Settings → Margin Scheme. If all your goods fall under the margin scheme, you only see the margin card. If none do, you only see the product card.

Shipping:

  • Domestic Shipping Article (with VAT): shipping to customers in your country and the EU
  • Export Shipping Article (VAT-free): shipping to customers outside the EU

Other Fees (handling fees):

  • Domestic Handling Fees Article (with VAT): customers in your country and the EU
  • Export Handling Fees Article (VAT-free): customers outside the EU

If you turned on B2B VAT exempt in your settings, each card also has a B2B field, such as Product Article (B2B). That article is used for B2B orders where the VAT is reversed.

Click Save Configuration when you are done. To change your settings later, click Edit Configuration.

How orders end up in Lundify

Customers

BrickInvoice gives each customer a reference made from the marketplace username: BL_ followed by the BrickLink username, or BO_ followed by the Brick Owl username. When an order comes in, BrickInvoice looks for a customer with that reference. If it finds one, it uses that customer (and updates it if Update Existing Contacts is on). If not, it creates a new customer.

Invoices

BrickInvoice creates a preliminary invoice in Lundify for each order, with:

  • the order date as invoice date
  • a due date 14 days after the day of the sync
  • the currency of the order
  • the order number as reference: BL_ followed by the order number for BrickLink orders, BO_ for Brick Owl orders

You finalize the invoice in Lundify yourself. It then gets its invoice number, which BrickInvoice picks up on its invoice number sync.

Lundify does not register payments or book PayPal or Stripe fees through BrickInvoice. See the Feature Comparison.

Disconnecting Lundify

  1. Go to Accounting → Connect.
  2. Click Disconnect Lundify.
  3. Click Yes, Disconnect in the dialog.

BrickInvoice removes the connection and your stored User-Key, and clears your accounting configuration, so after reconnecting you set it up again. Invoices and customers already in Lundify stay where they are. To use a new User-Key without losing your settings, use Change Connection instead. See Changing or disconnecting your package.

Troubleshooting

The connection test fails

Check that you copied the whole User-Key from Integrations in Lundify, without spaces before or after it, and test again.

Article lists stay empty in the configuration

Check that Lundify is still connected under Accounting → Connect and that the articles exist in your Lundify account. Then reload the configuration page.

A B2B order does not sync

A B2B order where the VAT is reversed needs the B2B articles. If one is missing, the sync stops with an error that names the missing article, for example Product (B2B). Choose the article in the configuration and sync the order again.
